This privacy policy outlines how "letterwise.us" (operated by JACK M BOYD LLC d/b/a School House Partners) collects, uses, and protects any information that you give us when you use this website.
What Information We Collect
When you use our Services, we may process personal information depending on how you interact with LetterWise and the choices you make. This includes educator account information (name, email, school), the responses you provide in letter questionnaires, and the recommendation letter drafts and evaluations you create. We may also store the first and last name of the student a letter is about so you can organize your letters. No salary, bonus, or other sensitive financial information is stored. No personal medical information or other highly sensitive data is collected.
Student Privacy and AI Processing
LetterWise uses a third-party AI model to help draft and evaluate letters. To protect student privacy, we hide the student's real name when sending information to the AI model — a placeholder is used in the AI request and the real name is restored only within your own account. We do not sell personal information, and we do not share it with third parties except as necessary for the sub-processors described below.
We require this information to provide and improve the Services, in particular for the following reasons:
- Internal record keeping.
- Generating, refining, and evaluating recommendation letters at your request.
- Improving our products and services.
Data Subject Rights
Depending on applicable laws (e.g., CCPA/CPRA for California residents), you may request access, correction, deletion, or portability of your personal information. We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic, and managerial procedures to safeguard and secure the information we collect online, including encrypted links and authenticated email. We aim to comply with CCPA/CPRA through measures like data encryption and access controls. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
Sub-Processors
We use trusted third parties to deliver the Services, including an AI model provider (for drafting and evaluating letters) and an email provider (for account and transactional email). These parties are bound by data protection terms. No data is sold or shared beyond what is necessary to provide the Services.
